Add Clients and Assets

Create client records and track domains, SSL certificates, hosting, licenses, and renewal ownership fields.

Build a useful workspace by adding clients first, then attaching renewal assets with owner, payment, access, and date fields.

Create the client record

A client record is the container for assets, renewal reminders, reports, and activity history. Keep the name recognizable to your team and use contact fields for the person who can approve renewal decisions.

  1. Open Clients and select New client.
  2. Enter the client name and operational contact details.
  3. Save the client before adding website assets.

Add the first renewal asset

Create one asset for each renewal you need to track. A domain, SSL certificate, hosting plan, plugin license, app subscription, and maintenance agreement should be separate records when they renew independently.

  1. Open the client and add a new asset.
  2. Choose the asset type that best describes the renewal.
  3. Enter provider, renewal date, cost if known, and renewal status.

Set ownership, payment, and access fields

The most important renewal fields are not always technical. Ownership, payment responsibility, and access state decide who can act when a renewal is close.

Do not store provider passwords, registrar passwords, API secrets, private keys, or client secret keys in notes.

  1. Set whether the client, agency, or provider owns the asset.
  2. Set who is responsible for payment.
  3. Record whether the team has enough access to complete the renewal.

Review the asset list on mobile

On mobile, use the horizontal app navigation to move between Dashboard, Clients, Assets, and Reports. Keep each asset title short enough to scan quickly while still naming the provider or domain clearly.
